Role Summary

URBN is seeking a Benefits Analyst! As Benefits Analyst, you will be a key member of the Benefits Department, working closely with external vendors and internal stakeholders to support benefits analytics, plan administration, employee engagement, issue resolution, benefits communications, open enrollment coordination, dependent verification, billing duties and ad hoc projects.

Our ideal candidate is highly motivated with a strong desire to take ownership of projects and understand broad concepts and principles as they relate to employee benefits. The Benefits Analyst is expected to be a self-starter who is resourceful and process-improvement oriented, with a commitment to best-in-class customer service in interactions with employees.

As a member of URBN's Total Rewards team, this role works collaboratively with Leave of Absence, Compensation, Human Resources, Payroll, and HRIS colleagues to deliver a cohesive rewards experience for all employees.

Role Responsibilities

Benefits Plan Administration Support

  •       Help manage the daily administration of various employee benefit plans, including health, life, flexible spending accounts, disability insurance, 401(k), and other benefits.
  •       Review and maintain plan documents and standard operating procedures.
  •       Assist the Benefits Manager in managing complex and sensitive employee concerns with a high level of tact, diplomacy, and discretion.
  •       Support benefits programs across URBN's growing, multi-brand portfolio, adapting processes as the organization scales.

Vendor Management

  •       Actively engage external vendors, with oversight from the Benefits Manager on escalations.

Benefits Communications, Open Enrollment & Dependent Verification

  •       Coordinate benefit communications, open enrollment materials, and dependent verification approvals for benefit-eligible populations.
  •       Assist with execution of benefits initiatives such as open enrollment and wellness initiatives.

Policy & Compliance Research

  •       Research and recommend updates to Benefits policies to help ensure programs remain market competitive and compliant with legal requirements, escalating recommendations to the Benefits Manager for decision.
  •       Work closely with external consultants to support compliance, stay current on benefit trends, and help evaluate solutions to benefit challenges and long-term strategy.

Reconciliations, Billing, Reporting & Audits

  •       Support benefit program oversight by monitoring claims, reconciling and submitting weekly funding and payments, tracking stop-loss reimbursements, and reviewing utilization reports.
  •       Run weekly, monthly, and quarterly benefits reporting and audits.

HRIS & Vendor-File Issue Resolution

  •       Identify opportunities for process improvement and manage HRIS and vendor file issues as they arise.

Employee Training

  •       Provide training and guidance to home office, field, and supply chain employees to ensure that benefit programs, policies, and plan designs are understood.

Role Qualifications

Required Competencies

  •       A high level of integrity in the handling of confidential information.
  •       Ability to clearly and concisely explain technical information in layman's terms.
  •       Strong problem-solving and critical thinking skills.
  •       Strong customer service attitude.
  •       Desire to champion implementation and execution of process improvement opportunities.
  •       Demonstrated project management, organizational, and time management skills to prioritize workloads and meet time-sensitive deadlines while balancing multiple projects and competing priorities.
  •       Strong communication and presentation skills.
  •       Technical proficiency in Excel, with the ability to manage and analyze large quantities of data.

Qualifications

  •       Bachelor's degree or equivalent experience.
  •       2-3 years of benefits administration experience required.
  •       Experience with HRIS required (UKG preferred).
