Role Summary

URBN is looking for a Vendor Relations Coordinator who will be responsible for improving the business relationships between internal stakeholders of URBN and external partners. Job functions include partnering with URBN Supply Chain, Production, and Buying Teams to support vendors in understanding and complying with all URBN requirements; including daily email/call assistance with Vendor base to assist with the use of Tradestone (URBN’s PLM) and outlined vendor requirements. The selected individual will support both UK/EU and US Vendor Relations Teams, while acting as support in all areas affiliated with vendor compliance as it relates to URBN policies, procedures, and systems,

Role Responsibilities

Tradestone (Vendor/PO Management/PLM System)

  • Work directly with the vendor, Vendor Relations team, and Tradestone support team to resolve specific training and process issues
  • Assist buyers with PO management questions relating to Tradestone
  • Gain a working knowledge of the vendor registration process, to serve in a support role as needed

Vendor Training

  • Assist with training URBN vendors during the vendor registration process by scheduling and executing informational training sessions, as needed
  • Assist vendors with all questions concerning URBN requirements, policies, and procedures outlined on the Vendor website, with a special understanding of differences between UK/EU & US

Vendor Assistance/Compliance

  • Daily support for vendors creating Packing List & Commercial Invoice documents in Tradestone (URBN PLM)
  • Work closely with Accounts Payable to re-direct Payment inquiries to correct stakeholder
  • Assist vendors in working with 3rd Party Ticket providers to place orders / troubleshoot
  • Partner with URBN Distribution Centers to validate compliance requirements and/or communicate compliance changes

Decision Making

  • Ability to make decisions in the best interest of the Vendor/Buyer relationship to support URBN Compliance requirements
  • Use learned expertise of URBN requirements and systems to support procedural changes to maximize Vendor compliance/system performance

Role Qualifications

  • Strong Organizational skills and attention to detail
  • Excellent communication, phone, and writing skills
  • Must be comfortable interacting with diverse groups of suppliers
  • Ability to effectively manage time and adapt to an everchanging environment
  • College degree, or at least 2 years of college and two years of related experience
  • Prior experience in customer service or retail environment preferred
