Role Summary

Anthropologie is looking for an Executive Assistant that will provide high-level administrative support to an Executive and their team, ensuring seamless operations and exceptional organizational efficiency. This role requires a proactive, detail-oriented professional who thrives in a fast-paced environment and serves as a trusted liaison between leadership, internal teams, and external partners.

Role Responsibilities

Executive Support

  • Manage complex calendars, schedule meetings, and coordinate logistics across multiple stakeholders.
  • Prepare meeting materials, draft and edit documents, and ensure timely distribution.
  • Book and coordinate travel arrangements, including itineraries and accommodations.
  • Prepare and submit accurate expense reports.
  • Anticipate Executive needs and ensure they remain on track and on time for all commitments.
  • Maintain confidentiality and exercise discretion when handling sensitive information.

Office & Operations Management

  • Greet visitors and enforce the URBN Visitor Policy.
  • Maintain office equipment, including conference room Zoom technology.
  • Ensure team supplies are stocked and available.
  • Oversee file management and maintain organized records.
  • Enforce and implement new policies and procedures within the team.
  • Support building operations by coordinating with Facilities and internal contacts.

Event Planning & Coordination

  • Plan and execute on-campus and off-site events, including milestone meetings.
  • Manage logistics, vendor relationships, and contingency planning for events.
  • Ensure labor is booked and resources are allocated for major meetings.

Team Collaboration & Onboarding

  • Serve as the face and liaison for the Executive and their team.
  • Communicate consistently with other EAs and team members to ensure alignment.
  • Assist with onboarding new team members and maintain group email lists/databases.
  • Contribute to a culture of teamwork, providing backup support during absences and peak periods.

    • Demonstrate attention to detail, anticipate needs, and solve problems quickly.
    • Collaborate with other EAs to accommodate complex scheduling.

    • Maintain a well-organized workplace and ensure compliance with policies and safety standards.
  3. Provide Seamless Event Planning & Execution
    • Organize events with precision, manage time effectively, and prepare backup plans.
  4. Contribute to Team Collaboration & Process Improvement
    • Build strong relationships, delegate tasks when necessary, and identify opportunities to streamline processes.
  5. Optimize Communication
    • Serve as a professional liaison, ensuring clear and timely communication across all levels.

Role Qualifications

  • Proven experience as an Executive Assistant or in a similar administrative role.
  • Exceptional organizational and time-management skills.
  • Strong written and verbal communication abilities.
  • Proficiency in Microsoft Office Suite, familiarity with Google Apps and Zoom technology.
  • Ability to maintain confidentiality and handle sensitive information with discretion.
  • Event planning experience preferred.

Pay Range

USD $60,000.00 - USD $70,000.00 /Yr.
