Role Summary

Responsible for sample management for web direct, editorial, and influencer samples. Working closely with Styling, Buying and Marketing teams to coordinate the flow of samples. Partner with the Producer to organize, plan and facilitate scheduling in regards to samples and priorities each week. Assist the Producer in maintaining an efficient studio workflow by restocking the studio with supplies and assisting with breakfast for the studio freelance team. 

Role Responsibilities

  • Unbox and receive all samples after they are approved by buyers
  • Provides daily accurate product count to Studio of samples received that day  to efficiently schedule each week’s workflow
  • Maintain tracking system for sample whereabouts (RMS/STEP/Creative Force)
  • Request samples from the Distribution Center for creative shoots
  • Responsible for the RNA doc and processing requests to receive from the DC each week
  • Update reshoots and pulling older samples for stylists on a weekly basis
  • Manages the Handoff process to ensure all samples are correctly labeled, checked in, fingerprinted, and passed to the Studio by Tuesday evening of the following week 
  • Add samples  to the “To Be Shot Job” doc once processed and passed to studio on Tuesday. Monitor and cross reference this doc to make sure items have been shot before clearing the doc
  • Create and maintain jobs in Creative Force for web direct shoots as well as Free People Wholesale products
  • Once jobs are created, callout for the styling and retouching teams the RNA samples and other special requests that need to be priority
  • Ensure samples are shot in a timely manner from when they are received -  monitor samples before returns to make sure they have been shot and are in Creative Force. Track and have knowledge of the whereabouts of samples within the sample room and the studio
  • Communicate with buying team to resolve sample inquiries
  • Monitor in-stock samples
  • Prioritize samples on a daily basis based on status in the distribution center and shoot date
  • Return shot samples to the DC
  • Identifies areas of opportunity for improvements in the sample and handoff  process and takes action to implement
  • Assist with studio breakfast pickup
