Role Summary

Responsible for operational sample management for direct samples across all businesses. Work closely with on Studio Sample Coordinators (flats and on figure) in all sample related tasks as well as cross functional partnership with Merchandising Sample Coordinators. Work alongside studio team, especially Production and File Management, on daily set maintenance, studio prioritization, and planning. Reports to Producer.

Role Responsibilities

  • Check in and check out all samples - apparel, intimates, accessories, movement, beauty
  • Document and maintain tracking system in Shotflow of all incoming and outgoing samples for non-styled shoots
  • Ownership over tracking status of all ISNO product in studio
  • Ensure samples are shot in a timely manner from when received in studio
  • Create Marketing Lists and monitor marketing and catalog priorities to ensure they are shot before emails and catalogs go live
  • Field queries and requests from merch/buying regarding sample status
  • Relabel imagery when necessary for send out shoots
  • Pass out gift cards to freelancers daily and support talent needs in web studio
  • Support production team. For example, supply check in, EQ + seamless + prop needs, catering, attend shoots if necessary
  • Partner with sample coordinators on vendor returns logging
  • Attend weekly sales meeting and share notes to studio team
  • Check in apparel/intimates & shoe turnovers weekly and provide breakdown to turn team which includes ISNO, reshoot, and carryover details
  • Implement a new process for reshoots + creative leads- create a strict deadline for merchandising team to submit all requests. Partner with production team to monitor amount of requests and reshoot reasons. Partner with styling sample coordinator to pull reshoots in studio and what needs to be ordered from the DC.
  • Work with file management team to ensure daily setlists are accurate and reshoots and creative leads are approved to shoot
  • Create set lists for WC movement/surf/send out shoots and update EXT tracker
  • Daily prioritization of samples based on in stock availability, catalog launch dates, and marketing live dates. Ensure that sets are following priority guidelines.
  • Bi-weekly pull of in studio not shot (ISNO & non ISNO) beyond 2 weeks list from STEP and share with sample coordinators to track down samples. Update status in doc by following AM.
  • Daily ISNO pull from STEP, update studio team on what came into stock that is in studio/not shot. Partner with sample coordinator to make sure samples are located and on planned sets
  • Check that all reshoots requested by merch are inputted into doc with proper information for new week's turn by EOD
  • Check in with buying partners for clean outs on a class by class basis + Partner with sample coordinator for what classes need to be clean out. add meeting markers to calendar
  • Daily carryover check when sets wrap, send update with notes to necessary team and put aside for styling to work into new sets
